What Information We Collect and Use

When you request a quotation, book a service, communicate with us or use our services, we may collect and use:

  • your name and contact details, including your email address and telephone number;

  • property or service addresses;

  • quotation, booking and service history;

  • payment and financial transaction information;

  • photographs relating to a property or cleaning service, where necessary;

  • compliments, complaints and other feedback;

  • correspondence between you and Azvera; and

  • property and service information, including property type, number of bedrooms and bathrooms, access arrangements, cleaning requirements, preferred dates and other information you provide when requesting a quotation or booking a service.

We may also process information necessary to comply with our legal obligations, including names, contact information, transaction records and other information required by law.

If we need to deal with a query, complaint, dispute or claim, we may use relevant customer records, correspondence, service history, payment information, photographs, witness information and other information reasonably necessary to investigate and resolve the matter.

Why We Use Your Personal Information

We use personal information where necessary to:

  • respond to enquiries and provide quotations;

  • arrange and provide our cleaning services;

  • communicate with customers before, during and after a service;

  • manage bookings, access arrangements and cleaning requirements;

  • issue and manage invoices and payments;

  • maintain appropriate business and service records;

  • deal with questions, complaints, disputes or claims;

  • improve and manage the delivery of our services; and

  • comply with our legal, accounting, tax and regulatory obligations.

Our Lawful Bases

Under UK data protection law, we must have a lawful basis for using personal information.

Contract

We use personal information where it is necessary to take steps at your request before entering into a contract or to perform our contract with you. This includes providing quotations, arranging bookings, communicating about your service and delivering the agreed cleaning service.

Legitimate Interests

We may use personal information where necessary for our legitimate business interests, including managing and improving our cleaning services, communicating effectively with customers, maintaining appropriate service records, responding to enquiries and dealing with complaints, disputes or claims.

We only rely on legitimate interests where we consider the use of the information to be necessary and proportionate and where those interests are not overridden by your rights and freedoms.

Legal Obligation

We use personal information where necessary to comply with legal obligations that apply to Azvera Group Ltd, including relevant accounting, tax and regulatory requirements.

Where We Get Personal Information From

We normally receive personal information:

  • directly from you;

  • from suppliers or service providers; or

  • from authorised third parties such as landlords, letting agents, property managers, business clients or other persons arranging or managing a cleaning service.

For example, a property manager may provide the contact or property information necessary for us to arrange a service at a property they manage.

How Long We Keep Personal Information

We only keep personal information for as long as reasonably necessary for the purpose for which it was collected and to meet applicable legal, accounting and regulatory requirements.

As a general guide:

Quote enquiries that do not result in a booking: normally retained for up to 12 months after the last communication.

Customer, booking and service records: normally retained for up to 6 years after the relevant service or end of the customer relationship where necessary for business records, contractual matters or potential legal claims.

Invoices, payment records and accounting/tax records: normally retained for at least 6 years from the end of the relevant company financial year, or longer where required by law or HMRC. HMRC currently requires limited companies to keep relevant records for six years from the end of the last company financial year they relate to, subject to certain exceptions.

Property or service photographs: normally deleted when they are no longer required for the service or related record-keeping purpose. Where photographs are relevant to a complaint, dispute, insurance matter or legal claim, we may retain them with the relevant records for longer.

Complaints, disputes and claims: normally retained for up to 6 years after the matter is closed, or longer where necessary because legal proceedings, insurance matters or another legal obligation requires it.

We may retain information for longer where required by law, where there is an ongoing dispute or claim, or where another legitimate reason requires us to retain it. When information is no longer required, we will delete it or securely dispose of it.

Who We Share Personal Information With

We only share personal information where reasonably necessary for our business, to provide our services, or where required by law.

Service Providers and Data Processors

We use third-party organisations that process information on our behalf.

Squarespace provides our website hosting and website services. It may process information submitted through our website, including customer enquiries and quotation requests.

Google Workspace provides our business email, cloud storage and productivity services. We use these services to manage customer communications and relevant business records.

Xero provides our cloud accounting and bookkeeping software. Relevant customer information may be processed through Xero for invoicing, payment records, financial record-keeping and management of our business accounts.

We may introduce or change service providers as our business develops. Where a provider processes personal information on our behalf, we require the information to be handled in accordance with applicable data protection requirements.

Other Organisations

Where necessary, we may also share relevant personal information with:

  • insurers;

  • accountants, solicitors and other professional advisers;

  • HMRC, the ICO and other relevant regulatory or public authorities;

  • organisations with whom we are legally required to share information; and

  • suppliers or service providers involved in delivering an agreed service.

For example, where you request a specialist service that is carried out by another service provider, we may provide them with the limited information necessary to arrange and deliver that service.

We do not sell your personal information.

International Transfers

Some of the technology and cloud service providers we use may process or store personal information outside the United Kingdom.

Where personal information is transferred outside the UK, we require appropriate protections to be in place in accordance with UK data protection law. Depending on the provider and destination, these protections may include UK adequacy regulations or data bridges, the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or another lawful transfer mechanism.

For example, Squarespace states that it may transfer customer-controlled data internationally, including to the United States. Squarespace states that it relies on the UK Extension to the EU-US Data Privacy Framework where applicable and provides contractual safeguards, including the UK International Data Transfer Addendum, where required.

Google Workspace may also process customer data in countries where Google or its subprocessors maintain facilities, subject to its applicable data-processing and international-transfer arrangements.

Xero operates internationally and may process data in countries outside the UK. Xero states that its GDPR data-processing terms apply as part of its terms where relevant and that it uses appropriate safeguards for international processing.

You can contact us at hello@azvera.co.uk if you would like further information about the safeguards that apply to international transfers of your personal information.

Your Data Protection Rights

Depending on the circumstances and the lawful basis on which we use your information, UK data protection law may give you the right to:

  • Access – ask us for copies of personal information we hold about you.

  • Rectification – ask us to correct inaccurate information or complete information that is incomplete.

  • Erasure – ask us to delete your personal information in certain circumstances.

  • Object – object to certain uses of your personal information, including certain processing based on legitimate interests.

  • Data portability – ask us to transfer certain information you provided to us to you or another organisation where this right applies.

These rights are not absolute and exemptions may apply.

If you make a data protection rights request, we will respond without undue delay and normally within one month, as required by applicable data protection law.
